Student Records, Documents, and Archiving (SRDA) Office

Department Policies

The SRDA Office operates in alignment with the University of Sharjah’s academic and administrative framework. The following policies guide our operations to ensure integrity, efficiency, and compliance:

  1. Data Confidentiality and Security

    All student records and documents are handled with strict confidentiality. Access is granted only to authorized personnel, and all digital and physical records are secured in accordance with university and UAE data protection regulations.

  2. Document Issuance Policy

    Academic transcripts, graduation certificates, and other official documents are issued only upon formal request by the student or authorized party, and after fulfilling all academic and financial requirements.

  3. ID Card Policy

    University ID cards are issued to new students and renewed or replaced upon expiration or loss. Lost IDs must be reported immediately, and a replacement fee may apply.

  4. Graduate Document Package Policy

    Each graduate receives a sealed envelope containing their official graduation certificate, transcript, and (if applicable) honorary or excellence certificates. Additional copies may be requested according to the document request policy.

  5. Verification and Third-Party Requests

    Verification requests by external parties (employers, embassies, etc.) require written consent from the student or graduate. All verifications are processed through the SRDA Office and recorded.

  6. Communication and Inquiry Response Policy

    The SRDA Office is committed to responding to all student and stakeholder inquiries within 3–5 working days, ensuring clarity, accuracy, and professionalism in all correspondence.

  7. Withdrawal and Clearance Policy

All student withdrawals and graduate clearances must be processed through the SRDA Office. The office ensures proper documentation and updates to internal systems.
